Swim Team Friends,
The time has come to register for your 5 swim team volunteer spots. Volunteer registration closes May 21st. To avoid phone calls and emails, please sign up for all 5 slots between now and the 21st.
Here’s what you need to do:
- Click on this link and you will see a list of every single volunteer opportunity available for the season. We have volunteer positions not only for meets but for special events and more. This is good news for those of you that want to volunteer outside of a meet. We’ve got you covered, and those spots will go quickly!
- Prior to selecting volunteer spots, make sure you have logged into the team's website. In doing so, your name and contact details will automatically tag against those jobs that you sign up for. Trust us, make your life easy and log in. ALSO, if you are signing up a spouse or otherwise, please make sure you select the person's name that will actually fill the role. Why? We make pre-printed name tags and we need to get these names right. If you don't see a family member in the system, that is because you need to add them to your profile. Simply add another family member and you are good to go.
- Also, great news! You can RSVP for all meets and events at the same time you select your volunteer spots. Why not knock it all out at once? **The Family Fun Night is open to ALL family members - when RSVPing, do so for everyone in your family. If you don't see a family member's name under your profile, that means you didn't add them to the system. Simply add their name to your profile. **
Here’s our best advice, think about what brings you joy during swim team season (other than watching your swimmer(s)). Take that joy and find your “happy” in a volunteer position. Then, give us your 100%.
Inevitably, you will have questions…let’s see if we can answer what might be on your mind ahead of time.
Q: How many spots throughout the season do I have to sign up for?
A: It is mandatory that each family (not each parent) volunteer for 5 spots. If you can do more, we would be most grateful and we will put your name in for Swim Team Volunteer of the Season (yes, that’s actually a thing!). BTW, grandparents, nannies, friends, aunts, uncles, etc. can help out too and that would count towards one of your spots.
Q: Can I see a description of the volunteer roles and what the requirements are?
A: Absolutely! You might recall we offered a handout at the Coach’s Meet & Greet. If you didn’t pick one up, please click on this link to see a full list of spots.
Q: Why are some volunteer positions at meets split into two shifts?
A: Typically, there are 80 events per meet therefore first shift volunteers help during events 1-40 (approximately 4:30 PM – 6:30 PM) and second shift volunteers help during events 41-80 (approximately 6:30 PM – 8:30 PM). Shifts are divided evenly based on the number of individual events. Please be aware that while we do our best to run meets efficiently and on schedule, we may have unforeseeable delays in which case the start time for your volunteer shift could be slightly modified.
Q: I signed up for a spot, but I don’t exactly know what I should be doing. Help!
A: Chill. All is good. We got this. And guess what, we’ve got a Volunteer Chair, Asst. Volunteer Chair, two Team Reps, and a myriad of seasoned parents that can help you and provide more details. Come and talk to any of us prior to the first meet and we can chat. Namaste.
Q: What do I do when I arrive to volunteer at a meet?
A: Upon arrival for a meet, a volunteer’s three basic responsibilities are as follows:
- Let the Volunteer Chairperson know they have arrived and obtain a name tag
- Report any volunteer job concerns to the Volunteer Chairperson (i.e. unsure about responsibilities)
- Report on time to the designated location for their volunteer job
Q: I know I need to volunteer however my child won’t be swimming the entire season. What should I do?
A: Don’t worry. You’ll still be able to fill all 5 spots. We are counting on you. :-) Keep in mind, we have volunteer spots for activities before meets, during meets and in-between meets.
Q: What if I sign up for something and then find out I can’t help?
A: Please do your best to reference your calendar BEFORE signing up. But we get it, life happens, and things change. As soon as you know about a change, immediately update your volunteer sign-up on the website. This is the easiest way for the Volunteer Chair and Team Reps to track our volunteers and identify gaps.
